System Overview
Understanding the interface, roles, and colour codes
Login & Roles

The system supports four access levels. On the login screen, select your role and enter the assigned PIN (all roles require a PIN).

Registration Types & Colour Codes

Each registration is assigned a Type, which determines the colour of the seat tile for quick visual identification.

Creating an Event
Go to Manage tab
Tap "Manage" in the navigation bar. The "Add New Event" form appears at the top.
Fill in event details
Enter event name, date, time, location, total seats, registration open/close dates, and optionally a poster URL and description.
Set team quotas
Allocate seats per team (T1–T6). Leave blank for auto-even split. Quotas enforce per-team limits until registration closes, then release to all teams.
Tap "Add Event"
The event will appear in Events, Calendar, and Summary tabs. Seats are auto-generated based on total count.

Expand an event
In the Events tab, tap any event card header to reveal the seat grid.
Add a registration
Tap "+ Add Registration" to open a form. Fill in: Status (Hold / Confirmed), Type (RM / Own Source / CNCB Client / Colleague), Name, RM, Team, City, and Notes.
Edit existing seats
Tap any coloured seat tile to modify details, change status, or clear the seat.
Manage waitlist
Scroll to the Waitlist section below the seat grid. Add entries or promote waitlisted attendees to available seats.

Tip: Use "Emergency Fill" (red button below event status) to bypass closed registration and quota limits when last-minute seats need filling.
Institution Visits

Admin can add, edit, and remove institution visits (branch visits, affiliate meetings) from the Calendar tab. Other roles can view but not modify.

Go to Calendar tab
Scroll below the calendar grid to find the "Institution Visits" form.
Fill in visit details
Enter: Institution name, start/end dates (supports multi-day), headcount, whether clients are included, and notes.
View on calendar
Visits appear as blue dots on the calendar. Tap any date to see a popup with all events and visits for that day.
Export: In the Report tab, scroll to "Institution Visits" section. Set a From/To date range and tap "Export CSV" to generate a visit report.

Navigate to Report tab
View activity statistics for all events: registered, attended, and deals closed.
Select events to export
Use filter buttons (All / Upcoming / Past / Clear) or individually check events. Then tap "Export CSV".
CSV includes
Event name, date, time, location, seat number, client name, type, RM, team, city, status, attendance, deal status, and notes.

Workflow
Create or edit events in Manage tab
Same process as Admin. Set event details, dates, and team quotas. Cannot delete events — contact Admin if needed.
Handle registrations in Events tab
Expand events to manage the seat grid. Add registrations, edit seat details, manage the waitlist.
Monitor via Summary tab
Track registration progress by team and city. Quota usage displayed as pills (e.g., T1 3/5).
Check Calendar for date conflicts
View the monthly calendar to see all scheduled events and institution visits. Tap dates for details.

Find the event
In the Events tab, locate the event. Check the registration status — you can only register during the "Open" period.
Expand and register
Tap the event card to expand the seat grid. Tap "+ Add Registration" and fill in: Type, Client/Colleague Name, RM, Team, City.
Use waitlist if full
If no seats are available, scroll to the Waitlist section and tap "+ Add" to add the client to the waiting list.
Check Summary
Use the Summary tab to monitor team quota usage and city distribution across all events.
Note: Registration is only available during the open period. Once registration closes, you cannot add or modify seats. Contact an Organizer or Admin for post-close changes.

Find past events
In the Events tab, scroll to "Past Events". Events marked "Event Ended · Tap for Feedback" are ready for your input.
Expand the event
Tap the event card header to reveal the seat grid showing all registrations.
Tap a seat tile
Tap any registered seat to open the feedback form.
Submit feedback
Select "Attended?" (Yes/No/Pending) and "Deal Signed?" (Yes/No/Pending). Tap "Save Feedback".

Indicators: After saving, attended clients show a ✓ mark on their seat tile. Deals show a 💼 icon. These are visible to all roles.

Compliance Note: Only client surnames and non-sensitive information should be entered in the Event Manager. Full registration details must be submitted separately through the internal compliance system.
